Administrative Assistant: METRO District Office
The METRO District of the Memphis Annual Conference is seeking an experienced Administrative Assistant to co-manage the district office. The position will report directly to the METRO District Superintendent and will work cooperatively with the Episcopal Office and Memphis Annual Conference.

·         Proficient with Microsoft Office Suite 
·         Knowledge of QuickBooks for payment to vendors, deposits, payroll and processing IRS monthly taxes and annual tax statements.
·          Ability to communicate in a professional manner via telephone, email, and mail correspondence
·         Strong proofreading skills
·         High level of organization
·         Know and use good grammar
·         Receive visitors to the office with warmth and courtesy
·         Ability to work assignments independently on a regular basis while District Superintendent is out of office
·         Experience with social media and website maintenance
Responsibilities of the Position:
·         Work under the direct supervision of the District Superintendent and cooperatively with additional administrative assistant
·         Answer all incoming calls
·         Manage financial accounts, to include: invoices, payroll, taxes, deposits
·         Report monthly financial statements to the District Superintendent and Finance Committee        
·         Type all correspondence and other materials for the District Superintendent
·         Maintain accurate records for clergy, local churches and individuals in leadership roles
·         Keep office records up-to-date and filing cabinets in order
·         Keep inventory of supplies for the office and work room and re-order when needed
·         Keep office in order and presentable
·         Prepare meeting room for upcoming meetings and ensure all materials are ready
·         Serve as receptionist for visitors
·         Sort and distribute incoming mail, prepare outgoing mail
General Requirements:
This position requires:
·         Awareness of the importance of the district office and his/her work to the mission of Christ
·         A lifestyle in keeping with the teachings of the United Methodist Church
·         Ability to keep strict confidentiality and remember that the business of the office is not to be shared with others
·         Ability to take direction from the District Superintendent, while at the same time, exercise strong initiative and good judgment
·         Working jointly on projects with other persons
·         Adaptability to new procedures, methods, and change
·         Accuracy and timeliness in correspondence        
·         A positive attitude and pride in work and personal appearance
·         A basic understanding or willingness to learn about church organization and polity.

Compensation and Benefits:
·         Salary is negotiable based on previous experience
·         Health insurance contribution
·         Contribution toward a pension program
·         Three weeks of personal time that be used for sick time, personal days, or vacation; the time 1.25 days/month, is not to be taken before a six-month probationary period has passed, and is to be worked out with the District Superintendent before being calendared. This time does not carry over from one calendar year to the next.
·         The following paid holidays: MLK Day, Memorial Day, Independence Day, Labor Day, Veteran’s Day, Thanksgiving Day, the week between Christmas and New Year’s Day (including those days)
·         Salary is negotiable and will be reviewed annually

Office Hours:
Monday through Thursday, 8:30am to 4:30pm. An occasional evening, weekend, or out of town event may require attendance.
